MinutesMinutes of the Library Board Meeting Date: 10/18/2022 Time: 7 AM Location: Salina Public Library, Prescott Room Board Members Present Judy Nold - President Gerry Cox - Vice President Lisa Mahler - Treasurer David Greiser - Secretary Brendan Burke Susan Kelly Helen Gregg Trent Davis, Mayor Library Staff Present Melanie Hedgespeth, Director Amy Adams, Assistant Director Stefanie Knopp, Head of Information Services Call to Order The meeting of the Salina Public Library Board was called to order at 7:00 a.m.by President Judy Nold. Public Comments None Consent Agenda Items: ●Minutes of the September 20, 2022 Library Board Meeting ●Financial Reports ○General Fund, Employee Benefit Fund, GF & EBF checks, Transactions by account ●Statistical Reports ➔Motion Motion made by: Brendan Burke A motion was made to approve the consent agenda. Second: Dr. Trent David Motion passed unanimously. Discussion/Action Board Training ●Human Library & DLA Stefanie Knopp shared the function of the scanning wand. Discussion followed. Stefanie shared information on the Human Library, a library event planned for 2023. The board asked questions about the logistics of the event. Discussion - Director Report ●Melanie gave updates on library event attendance. Lerin and Melanie attended an event at Cottonwood and the Salina Economic Conference. The library provided books to a teacher at USD 306. ●Melanie reviewed the CKLS budget and the state library budget information. The state library provides their meetings online. ●Youth Services is phasing out youth CDs. ●The library has had issues with fire alarms being triggered. Staff are looking at options to address the issues. ●Work is progressing on the storage shed. ●Melanie & Sandy met with AFLAC regarding the 125 plan and vision benefit. The AFLAC representative will meet with staff later this year. ●The library’s Quickbook hosting transfer will occur Nov. 7 and 8. ●A staff meeting focused on strategic planning for 2023 will be held Nov. 11. Discussion - Other ●Capital Campaign Update - Amy explained that we have received several statements of support. Melanie said staff continue to meet with potential donors and connect in the community. The Friends of the Library have pledged donations for the project. Action Items ●2022 Budget - Melanie gave updates on hiring. ➔Motion Motion made by Brendan Burke To approve the retention/inflation supplement as presented to be paid to current, active staff as of November 1, 2022. Second: Lisa Mahler Motion passed unanimously. ●Library Hours - Melanie explained the proposal and the data supporting the change. The board discussed the proposal. The board requested that summer evening traffic be reviewed at a future board meeting. ➔Motion Motion made by Brendan Burke To approve the Library closes at 8 PM Monday through Thursday evenings beginning December 1, 2022, as well as the Library will close at 6 PM the day before Thanksgiving. Second: Lisa Mahler Motion passed unanimously. ●Capital Expenditures -The Board discussed extended warranty and service for the UTV and the UTV’s use. ➔Motion Motion made by Brendan Burke To approve the purchase of the UTV from KanEquip with the option to purchase the extended warranty. Second: Gerry Cox Motion passed unanimously. Executive Session ➔Motion Motion made by Brendan Burke I move the Salina Public Library Board of Trustees recess into executive session with board members for 5 minutes to discuss personnel pursuant to KSA 75-4319(b)(1). The open meeting will resume in this room at 8:12 a.m. Second: Dr. Trent Davis The board meeting resumed after the executive session at 8:12 AM. A committee was appointed to conduct the Director's review that included Lisa Mahler, Helen Gregg & Dr. Trent Davis Other Business & Board Comments ●Susan asked about drain maintenance.
