10-25-2001 Minutes -685- The regular monthly meeting of the Salina Public Library Board of Trustees was held at 4:00 p.m. on Thursday, October 25, 2001 in the Prescott Room. The following Board members were present Kristin Seaton, Nancy Chandler, Janice Ostrom, Lynne Ryan, Betsy Scholten, and Tom Arpke. Others present were Joe McKenzie, Cynthia Smull, Art Pitcock, and Dianna Waite. Betsy Scholten called the meeting to order. Betsy asked if there were any additions or changes to the September 27th minutes. None were suggested. 01-44 On a motion made by Tom Arpke and seconded by Nancy Chandler it was RESOLVED THAT: The Board of Trustees of the Salina Public Library approves the September 27 minutes as printed. PUBLIC COMMENTS: None STAFF INTRODUCTIONS: Joe McKenzie introduced Art Pitcock, Computer Technology Coordinator and Dianna Waite, Head of Circulation to the Board of Trustees. FRIENDS OF THE LIBRARY: The Friends met on October 18, 2001. They have two new board members. They are working to organize a book sale to take place on November 17 and 18 in the Prescott Room. The Friends are doing the hospitality for the Patricia Traxler reception and book signing. ORIENTATION: Technology Update: Art Pitcock gave the Board an update on the Library network and how it functions. Art provided the Board with handouts picturing the network layout. The library will change its Internet service on November 19 to Tri-Rivers Internet. Services will continue to be the same. We are looking at "Thin Client", a name for a new type of technology, which is much lower in cost and is attached to the server. DISCUSSION ITEM: Circulation Self-Check: Joe McKenzie reported that the staff had a meeting this morning to see information and discuss the self-check system. Tom Arpke asked if the Kansas Library Card would work with the self-check system. Joe responded that it would not. The Kansas Library Card is for on-line databases. The question was asked about other companies that had self- check systems. It is noted that 3M is the leader in this field. They are on the cutting edge of the self-check technology available. They are not pushed by competition. However, 3M is a progressive company. -686- Price of the units was discussed. Dianna Waite checked on pricing and the price will not be going down, in fact, after January 1, 2002 the prices will be going up. Three M technology improves every year. They are presently working on a stand-alone system that could act as a backup if the network system goes down. To start with we would use the self-check system to check out only books. Lawrence, Kansas does books and videos. Topeka does only books. The 3M self-check systems have a one-year money bac::k guarantee if we don't like it for any reason we can give it back. The cost is approximately $24,000 per unit. Money for the proJect would come from the Fines & Miscellaneous or Capital Account. The maintenance agreement will be $6600.00 per year. 01-45 On a motion made by Nancy Chandler and seconded by Kristin Seaton it was RESOLVED THAT: The Board of Trustees of the Salina Public Library approves the purchase of two 3M Self-Check units. Motion carried. P686. 10/25/01. Dianna Waite said the order would be placed in December with the installation in January 2002. Lynne Ryan commented about the Circulation Department area. She would like to see signage indicating self-check units when they are installed. FINANCIAL REPORT: Joe McKenzie reported on the financial status of the library at this time. We should be able to make the maximum transfer from the General Fund to the Capital Improvement Fund in December. Our spending for the year is where it should be. 01-46 On a motion made by Janice Ostrom and seconded by Tom Arpke it was RESOLVED THAT: The Board of Trustees of thc~ Salina Public Library approves the financial report. Motion passed. P686. 10/25/01. STATISTICAL REPORT: Joe reported that Tech Services has processed 12,900 year to date and the number processed for the entire year last year was 12,800. We will probably process about 15,000 items by the end of this year. Board members asked questions about some of the stats. Use of Internet for adult was 1700 and 193 for Youth Services Department. The small conference room had 26 signed up to use the space and there were many others who used it without signing up. -687- LIBRARIAN'S REPORT: We have had complaints from patrons about the cost of replacing audiotapes, which are a part of set at $10.00 each. If a book had five tapes the cost could be $50.00. We are looking at reducing the cost of CD's and tapes. CD's would be reduced to $7.00 and tapes would be reduced to $6.00 each. We have received about 32 applications for the new reference assistant's positions. William Boatman who is a Reference Librarian is leaving on October 28 to accept a position in Texas. A downtown group has formed called the "Downtown Arts District Committee". Joe reported that he is participating in this group. William Least Heat Moon will be the Novel Kansas author next spring. The Symphony Guild talked with us about partnering on the "Live at the Library" Grant. We installed the Internet Policy on the computers and it clashed with the security system. Jason is working on finding a way to make it work. We are back to giving computer classes. We also hav(~ a "Toddler Tech Time" that Melanie is teaching. It runs concurrent with morning Story time. BOARD COMMENTS: Betsy Scholten gave congratulations to the library's Youth Services Department for the "Youth Service Award" they recently received in a 12 state regional competition. Lynne Ryan recommended the web site www.friendshipthrougheducation.org as a link to be placed on our web page. The Board meeting for November will be held on November 29, 2001 at 4 PM in the Prescott Room.
