Approve a change order request for the Smoky Hill Museum Crossroads of the Heartland Graphic
Design Sub-Project.
BACKGROUND:
The Smoky Hill Museum Crossroads of the Heartland Graphic Design Sub-Project is part of the
Gallery Remodeling, Project No. 04-1506. The Smoky Hill Museum is owned and operated by the
City of Salina under the direction of the Department of Arts and Humanities. This sub-project involves
the graphic design of text labeling for the exhibition. The Smoky Hill Museum staff conducted a
professional services selection process that included a qualifications-based review, evaluation of
submitted work, and a study of hourly rates and estimated work hours substantiated by an outside
third party. Final selection of Michael Gutierrez Designs was done through a review process involving
the City Manager, Assistant City Manager, and SAHC Executive Director.
The City Commission approved a contract with Michael Gutierrez Design in March 2005 to provide
graphic design services for exhibit labels and panels for the Crossroads of the Heartland gallery
renovation. Michael Gutierrez was awarded a contract (330 hours at $60/hr, not to exceed $19,800)
for developing a theme and design of all introductory, main, secondary, tertiary, and quote labels. At
that time, the master plan identified additional education labels and gallery interactives, but the label
text and content had not yet been written. Consequently, these labels and interactives were not listed
in the original scope of work for the March contract. Staff members have now identified the content
for these labels, and requests to have Michael Gutierrez design these additional labels so they will be
consistent with the existing label theme. The additional design scope of work includes 4 flip-books
with 99 total pages, 8 interactive labels ranging in sizes from 8 Y2 x 11 to 16 x 20, and 1 artifact
identification label template
FISCAL NOTE:
This contract will be for additional design in an amount not to exceed $3,240. Museum staff has
successfully raised private funds for the gallery renovation project. Those funds have been deposited
in city accounts and the City Finance Department administers the funds for the project.
RECOMMENDED ACTION:
Staff recommends the City Commission approve a change order request for additional design in the
Smoky Hill Museum Crossroads of the Heartland Graphic Design Sub-Project to Michael Gutierrez
Design in an amount not to exceed $3,240.
AGREEMENT FOR GRAPHIC DESIGN SERVICES "ADDENDUM"
This ADDENDUM, made on this day of August, 2005, in Salina, Kansas between the
City of Salina, Kansas, hereinafter referred to as the "OWNER", and Michael Gutierrez
Design, hereinafter referred to as the "D ESI GNER" .
SCOPE OF CONSULTANT'S SERVICES
DESIGNER agrees to complete additional graphic design work for the Smoky Hill Museum
Gallery Renovation Proj ect (PROJECT), as specifically set forth:
a)
Design additional Crossroads of the Heartland education and interactive labels. This
will be done in conjunction with Museum staff and will include:
1) DESIGNER will be responsible for developing a design theme for education and
artifact identification labels.
2) Design 4 flip-books, 8 interactive labels, and 1 artifact identification label
completed by dates specified in below details. Label specifications:

0 WNER agrees to provide to D ESI GNER:
a) OWNER will work with the DESIGNER to complete the labels, providing review,
information, and resources as required.
b)
OWNER will provide access to script, artifacts, graphics, and photographs as required
for label design, as well as other information needed to expedite the process.
c)
OWNER will handle DESIGNER'S requests for information in a timely manner to
avoid delays.
D ESI G NER' S CO MPENSA TI ON AND SCHEDULE
The OWNER shall pay an amount not to exceed three thousand two hundred and forty
dollars ($3,240) for services provided by the DESIGNER under this Addendum. OWNER
shall pay D ESI GNER according to the terms and schedule set forth.
a) Each check to DESIGNER shall be made payable to: Michael Gutierrez Design, 2035
E. Iron, Ste. #236, Salina, KS 67401.
b)
OWNER shall make payments to the DESIGNER according to the following schedule:
1) Fee will be based on actual hours spent on the proj ect at an hourly rate of $60.
2) Cost of Services provided by the DESIGNER shall not exceed a maximum
compensation of $3,240 for completion of the proj ect.
All payments shall be subject to OWNER'S review of product workmanship and

conformance with Scope of Consultant's Services. Payments will be made by
OWNER within thirty (30) days after receipt of DESIGNER'S invoice.
