Page 1 2 Arts & Humanities BY~~ ~ .PY:~ . ITEM: Authorize approval of the Smoky Hill Museum to partner with Salina Downtown, Inc. as a co-sponsor for Santa Fe Day. BACKGROUND: Over the past 14 years, the Smoky Hill Museum has been involved in Salina Downtown, Inc.'s Santa Fe Days event. Playing an integral role in this heritage-focused event, the Museum has offered historical demonstrations, an antique auto show, collections tour and costumed interpreters to help educate visitors about the history of the Smoky Hills region. In 1999, the Museum's Santa Fe Days event attracted 192 visitors during a five-hour time span, making it the busiest day of the year for the Museum. Through efforts made by staff to increase event quality, along with a closer association with SDI, the event has grown dramatically over the past four years, attracting 772 visitors in four hours last year. The event's increased popularity, and the public demand for living history demonstrations, increased Museum costs from an operating budget of $82 in 1999 to $470 in 2002. The Museum is proposing a partnership with SDI to co-sponsor the Santa Fe Days event. Although the Museum regularly collaborates with other organizations to host events, exhibits, and programs, this particular project is of a larger scope than any existing partnership currently underway, and would require a more formal agreement as a City division. The Santa Fe Days event is budgeted at $9,000. SDI and the Museum would each invest $2,000, with the remaining $5,000 coming from private sponsorships and earned income. The Museum would utilize money from its existing 2003 budget to sponsor the event. Evênt activities would be divided between the two organizations, with billing, liability, and fundraising shared jointly. This affiliation with SDI would offer the Museum wider public participation and civic engagement, as well as an opportunity to partner with the private sector through event sponsorship and the creation of a signature event for the Museum. RECOMMENDATION: Authorize the City Manager to execute an agreement with Salina Downtown, Inc. for sponsorship of Santa Fe Day.
