Authorize an upgrade of the Fire Department Headquarters telephone system through the pu chase
of NEC Electra Elite 48 Digital Key Telephone System.
Backaround:
The 2002 Buildings and Facilities Plan Capital Improvement Program allocates $19,000 f r Fire
Department phone system upgrade at Fire Station #1.
The original request was to interface with the city's current NEC system at a cost of $19,116.0 . The
advantages and disadvantages of interfacing with the city's system was seriously evaluated y the
department. An independent stand-alone system allows us to continue direct contact with 0 r sub-
stations as well as give us the advantage of voice mail, call forwarding and other desired optio s. Our
current Merlin system is approximately 15 years old and maintaining this system is becoming d icult.
Some accessories to the system are still available however most components are not onger
manufactured and thus are impossible to replace or repair.
The update includes:
1 - NEC Phone System
1 - Elite Voice Mail System
17 - 16 Button Display Phones
2 - 32 Button Display Phones
1 - 8 Button Display phone
The cost of the system being requested is $11,933.00. This cost is significantly lower than ori inally
proposed since we are not networking this system with the city's system. This system is cap ble of
connecting to the current phone system within the City/County building in the future if need b .
Recommendation
The Fire Department recommends purchase of the NEC Electra Elite 48 Digital Key Telephone
and NEC Elite Voice Mail system from Birch Telecom in the amount of $11 ,933.00.
